1.5. Follow statutory ‘keeping children safe in education’ guidance if any members of FACES personnel have safeguarding or child protection issues.

2. Obligations of the parents/partners

2.1. Complete fully all questions set out in FACES registration Online documents, and sign the terms and conditions.

2.2. All payments for FACES are to be paid monthly on time or in accordance with the payment plan that is set out. Failing to comply with this, FACES have the right to terminate this agreement immediately.

2.3. Update FACES online of any ongoing illness, any change in family contact details and any food, medicine or material to which the child is allergic.

2.4. Complete a medicine consent form if you require our staff to administer any medicines to the child

2.5. Ensure that a responsible adult will collect the child and is registered on our system and vacate the FACES premises promptly at the end of your allocated session. FACES do not allow anyone under the age of 16 years to collect a child unless this is has been input on our online system under collection section.

2.6. Notify us if another adult is collecting your child and arrange for them to have the password and must be registered on our system.

2.7. Permit and hereby authorize FACES personnel to arrange for the child to receive medical treatment in an emergency.

2.8. Inform the FACES and school staff before the session if your child is going to be absent for any reason.

2.9. Inform FACES staff as far in advance as possible of any dates on which the child will not be attending FACES. This can be done online.

2.10. Keep children at home for 48 hours after the last bout of vomiting and /or diarrhea.

2.11. Keep children at home until common illnesses are no longer infectious e.g. chicken pox, conjunctivitis.

2.12. Name all their child’s belonging and ensure that all lost property is picked up promptly. FACES will do our best to return any named items as soon as possible. All unnamed, uncollected items will be donated to the PTA half termly.

3. Children: Admissions

3.1. You can register your child at any time but we will contact all new children starting the schools to give them information to register. If necessary, we will then allocate places and put your name will go on the waiting list. You will then be asked to register on our system

3.2. FACES is registered for children aged 3 – 11 years, but our policy is to admit children from aged 4, due to staffing ratios.

3.3. Where there are more children waiting for a place than there are places, priority will be given in the following order:

3.5. Children in public care or who have a particular medical or social need (needs to be supported by external evidence)

3.6. Children who have a sibling at FACES. Siblings will be allocated places based on the number of sessions per week they require.

3.7. FACES may require the parent(s) to remove the child from FACES if the child requires special care or medical attention which is not available, or is refused by the parents.

3.8. FACES may require the parent(s) to remove the child from FACES if it has good reason to believe that the child is, or maybe suffering from any contagious disease and there remains a risk to other children.

3.9. The parents shall not be entitled to any refund when a child is absent for any reasons stated in paragraphs above.

4. Fees

4.1. Fees for children who attend in term time only will be invoiced on completion of booking sessions on the system and will be provided with a payment plan option or can pay fully immediately.

4.2. Fees are payable during periods of absence from FACES. This includes sickness, holidays or any cancellations since FACES still incurs staff and overhead costs.

4.3. A surcharge of 10% may be levied for payment more than 14 days late.

4.4. The parent(s) shall not be entitled to any refund or release from liability for payment of fees by virtue of non-attendance of a child for any reason.

4.5. Where parents/carers are late following a session, either by: (i) After advertised closing time a late charge of £5 per part 15 minutes. 30 – 60 minutes late charge £20 (ii) After your allocated time, a charge will be made at the time, (iii) Holiday Club and INSET late pickup incurs a charge after the advertised closing time as in part (i)

4.6. The fees may be increased by giving at least four weeks’ notice.

4.7. FACES reserves the right to alter its Terms and Conditions at any time.

4.9 Due to the regulations that some Child Care Voucher Providers have, it is not at the discretion of Spiral Faces whether they can make refunds          via the Child Care Provider. An example being Eden Red who will not accept any refund requests.


4.10  Any credit balances  under £10.00 at the end of Year 6 will not be refunded due to the prohibitive cost

5. Liability

5.1. FACES accepts no liability for any financial or other loss suffered by the parent(s).

5.2. Children are not permitted to bring money, jewelry, phones or tablets and other valuables with them during Breakfast Club and After School Club. The FACES staff cannot take responsibility for any items left, lost or broken.

5.3. Personal items are allowed to be brought in during Holiday Club but staff cannot take responsibility for any items left, lost or broken. Parents will be asked to sign a safe use agreement before their child is allowed to use their own electronic equipment.

5.4. If FACES has to close due to events or circumstances which are outside its control, it shall be under no obligation to provide alternative childcare arrangements. If the closure exceeds 3 days in duration (excluding days when FACES would otherwise be closed), it will credit you with an amount that represents the number of days that the FACES is closed in excess of 3 days.

5.5. FACES does not accept responsibility for accidental injury or loss of property. FACES maintains those insurances required by law.

5.6. Any people using the car parks do so entirely at their own risk. FACES cannot accept responsibility for injury, damage or loss to visitors, vehicles or property.

5.7. To meet statutory obligations and best practice to support children, schools/providers will share relevant information about children with FACES settings as per Ofsted requirements.

6. Cancellation/Termination/Change

6.1. Parent(s) may only make changes if they provide 4 calendar weeks’ notice (i.e. cancellation, change of days and change of time). This can be waived in times of hardship at FACES discretion.

6.2. FACES shall have the right to terminate or change this agreement with immediate effect if the parent fails to pay fees on time and in advance.

6.3. HOLIDAY CLUB – any bookings cancelled with at least 48 hours’ notice will incur a cancellation fee of £7 a child. For cancellations with less than 48 hours’ notice, full charges will still apply with no refund since FACES still incurs staff and overhead costs.

6.4. Any continuous bad behaviour will be logged and the parents notified. FACES may require the parent(s) to remove the child from FACES if in extreme circumstances, and as a last resort, if the Manager considers a child to be consistently aggressive, disruptive and a danger to themselves or to others. Definitions in this document the term “parent” refers also to “legal guardian”.
